Scope of this policy
This policy explains how we process personal data when you visit futur-work.com, contact us, book a meeting, apply for a job or for FuturAcademy, or work with us as a client, partner or supplier. It is based on the General Data Protection Regulation (EU) 2016/679 ("GDPR") and the Belgian Law of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.
What we collect, why, and on what legal basis
Visiting the website
When you browse the site, our hosting and security providers process technical data such as your IP address, browser and device type, the pages requested, and the date and time of your visit. We use this data to deliver the site, keep it secure and prevent abuse. Legal basis: our legitimate interest in running a secure website (Article 6(1)(f) GDPR). We do not use analytics or advertising trackers.
Contacting us by email
When you email us, we process your name, email address, company, job title and the content of your message to answer you and follow up on your request. Legal basis: steps taken at your request before entering into a contract (Article 6(1)(b) GDPR) or our legitimate interest in answering business enquiries (Article 6(1)(f) GDPR).
Booking a meeting
The booking tool on our Contact page is provided by Microsoft (Microsoft Bookings). It collects your name, email address, phone number if you give it, the time slot you choose and any notes you add, so that we can organise the meeting. Legal basis: steps taken at your request before entering into a contract (Article 6(1)(b) GDPR).
Applying for a job or for FuturAcademy
Our job offers link to the Collective.work platform or invite you to email us. We process your CV, contact details, professional background and any other information you choose to share, to assess your application and organise interviews. Legal basis: steps taken at your request before entering into a contract (Article 6(1)(b) GDPR). When you apply through Collective.work, that platform also processes your data under its own privacy policy. Please do not send sensitive data, such as information about your health or religion, unless it is strictly necessary.
We only share your profile with a client for a specific assignment after you have agreed to it. Hiring decisions are always taken by a member of our team. We may use software, including AI tools, to help review applications, but never to take a decision about you automatically.
Clients, partners and suppliers
We process the business contact details of people who work for our clients, partners and suppliers to manage the relationship, perform our contracts, invoice and meet our legal obligations. Legal bases: performance of a contract (Article 6(1)(b) GDPR), compliance with legal obligations such as accounting and tax rules (Article 6(1)(c) GDPR), and our legitimate interest in managing business relationships (Article 6(1)(f) GDPR).
Business development
We may contact professionals about services relevant to their role, using business contact details. Legal basis: our legitimate interest in developing our business (Article 6(1)(f) GDPR). You can object at any time by replying to our message or writing to contact@futur-work.com, and we will stop.
How long we keep your data
We keep personal data only as long as we need it for the purpose it was collected for, then we delete or anonymise it.
Website technical data: for the limited period set by our hosting and security providers. Enquiries and prospects: up to 3 years after our last contact. Job and FuturAcademy applications: if we do not hire you, up to 12 months after the end of the recruitment process, or up to 2 years if you agree to join our talent pool; if you join us, your application becomes part of your personnel file. Client, partner and supplier data: for the duration of the relationship, then as long as needed to handle any claim. Accounting documents: for the period required by Belgian accounting law.
Who receives your data
Your data is accessible only to the FuturWork team members who need it. We also rely on service providers that process data on our behalf, under contracts that oblige them to protect it: Webflow (website hosting), Cloudflare (security and content delivery), Microsoft (email, calendar and meeting booking) and jsDelivr (delivery of website scripts).
We may disclose data to public authorities when the law requires it. We never sell personal data.
Transfers outside the European Economic Area
Some of our providers are based in the United States or may access data from there. In that case, we rely on the EU-US Data Privacy Framework when the provider is certified under it, or on the Standard Contractual Clauses adopted by the European Commission, with additional safeguards where needed.
Cookies
Our website uses one strictly necessary cookie, _cfuvid, set by Cloudflare to protect the site against bots and abuse. It is deleted when you close your browser. Because it is strictly necessary, it does not require your consent. We do not use analytics, advertising or social media cookies.
If you use the booking tool on our Contact page, Microsoft may set its own cookies; see the Microsoft Privacy Statement. If we add other cookies in the future, we will ask for your consent first and update this policy.
Your rights
You have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to receive it in a structured, commonly used format. You can object at any time to the use of your data for direct marketing. Where we rely on your consent, you can withdraw it at any time, without affecting processing carried out before.
To exercise your rights, email contact@futur-work.com. We may ask you to confirm your identity. We answer within one month. For complex or numerous requests, this period can be extended by two months; we will tell you if that is the case and why.
If you believe we have not handled your data correctly, you can lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be. We would appreciate the chance to address your concern first.
How we protect your data
We limit access to personal data to the people who need it, use encrypted connections (HTTPS) and work with providers bound by confidentiality and security obligations. If a data breach is likely to put your rights at risk, we will notify the Belgian Data Protection Authority and, where required, inform you.
Children
Our website and services are intended for professionals and adults. We do not knowingly collect personal data from children under 16.
Changes to this policy
We may update this policy when our practices or the law change. The latest version is always available on this page, with its date at the top.
